Effective Date: September 23, 2026

1. Acceptance of Terms

Welcome to RebateSweep Solutions, LLC (“RebateSweep,” “Company,” “we,” “our,” or “us”).

By accessing our website, submitting an inquiry, uploading transaction documents, or requesting our services, you acknowledge that you have read and agree to these Terms & Conditions.

If you are acting on behalf of a dealership, distributor, contractor, or other business, you represent that you have authority to submit information and request services on its behalf.

If you do not agree to these Terms & Conditions, please discontinue use of our website and services.

2. Description of Services

RebateSweep Solutions, LLC provides third-party commercial equipment rebate administration services to dealers, distributors, contractors, and other business clients.

Our services may include:

  • Identifying potentially applicable utility or manufacturer rebate programs.
  • Reviewing submitted transaction and equipment documentation.
  • Evaluating apparent rebate eligibility against available program requirements.
  • Preparing rebate applications and supporting documentation.
  • Coordinating required signatures and authorizations.
  • Submitting applications when authorized and permitted by the applicable program.
  • Monitoring application status and coordinating follow-up requests.
  • Communicating application outcomes to the dealer or other authorized parties.

The specific scope of services may be further defined in a separate Dealer Service Agreement or written service proposal.

RebateSweep is an independent administrative service provider. Unless expressly stated otherwise, we are not affiliated with, employed by, or acting as an agent of any utility company, government agency, equipment manufacturer, or rebate program administrator.

3. Rebate Eligibility and Approval

Rebate eligibility is determined by the applicable utility, manufacturer, government agency, or program administrator.

RebateSweep may identify potential rebate opportunities and assist with application preparation, but we do not control program funding, eligibility determinations, approval decisions, processing schedules, or payment of rebate funds.

Submission of an application does not guarantee approval.

Rebate programs may be modified, suspended, discontinued, or exhausted without prior notice to RebateSweep.

We do not guarantee a specific rebate amount, approval date, payment date, or program outcome.

4. Client Responsibilities

The dealer or other contracting client is responsible for providing accurate, complete, and timely information necessary to evaluate and process a rebate application.

Required information may include:

  • Dealer and end-customer information.
  • Equipment manufacturer and model numbers.
  • Equipment quantities and serial numbers, when required.
  • Purchase invoices and supporting transaction documents.
  • Installation addresses and dates.
  • Utility account or service information.
  • Proof of installation, commissioning, or payment, when required.
  • Customer signatures and program-specific authorizations.

The client is responsible for confirming that submitted information is accurate and that the client has obtained all permissions necessary to disclose it to RebateSweep and the applicable rebate program.

RebateSweep may suspend processing, request clarification, or decline a submission when required documentation or authorization is missing.

5. Administrative Fees

Unless a separate written agreement establishes different pricing, RebateSweep Solutions’ standard administrative fee is $250 per approved rebate application.

Fees are assessed according to the number of separate rebate applications processed and approved. Equipment quantity alone does not determine the number of administrative fees.

RebateSweep may provide a separate written quotation for unusually complex projects, additional services, or transactions outside the standard administrative scope. Any different fee must be agreed upon before the additional work is performed.

5.1 Partner Multi-Deal Pricing Program

RebateSweep Solutions offers eligible RebateSweep Partners access to its Multi-Deal Pricing Program, which provides reduced administrative pricing when multiple qualifying rebate applications arise from the same end-customer equipment order or project.

To qualify for Multi-Deal Pricing:

  • The submitting dealer or distributor must be an eligible RebateSweep Partner at the time the qualifying applications are submitted.
  • The same customer order or project must generate two (2) or more qualifying rebate applications.
  • All applications receiving Multi-Deal Pricing must arise from the same end customer and the same underlying equipment order or project, as reasonably determined from the transaction and supporting documentation.
  • Applications involving different customers, unrelated transactions, or separate equipment orders or projects may not be combined to qualify for Multi-Deal Pricing.

For an eligible Multi-Deal transaction, the administrative fees are:

First Approved Application: $250

Each Additional Approved Application from the Same Qualifying Order or Project: $150

Each new or separate qualifying order begins with the standard $250 first-application fee.

For example, if a single qualifying customer order results in five approved rebate applications, the administrative fee would be calculated as follows:

First Approved Application: $250
Four Additional Approved Applications: 4 × $150 = $600
Total Administrative Fees: $850

At the standard rate of $250 per application, five approved applications would total $1,250. Under the Partner Multi-Deal Pricing Program, the Partner would therefore save $400.

Multi-Deal Pricing affects only RebateSweep’s administrative fees. It does not alter or waive any eligibility requirement, documentation requirement, installation requirement, application deadline, funding limitation, or other condition established by the applicable utility, manufacturer, government agency, or rebate program administrator.

Participation in the Multi-Deal Pricing Program does not guarantee rebate eligibility or approval. Final rebate eligibility and approval remain solely within the authority of the applicable rebate program administrator.

6. When Fees Become Payable

Under our standard approval-based pricing arrangement, an administrative fee becomes billable when the applicable rebate program issues final approval of the application.

An application that is denied or withdrawn before final approval does not incur the standard approval-based administrative fee.

If a separate written agreement provides for setup fees, special project fees, expedited services, or other charges, those fees are governed by that agreement.

Final rebate approval and actual disbursement of rebate funds are separate events. Unless otherwise agreed in writing, RebateSweep’s fee is not contingent on the date the rebate recipient receives payment.

7. Invoicing and Payment Terms

RebateSweep may issue individual invoices or consolidated invoices covering multiple approved applications.

Unless otherwise agreed in writing:

Payment terms are Net 30 days from the invoice date.

Invoices may identify the dealer order, end customer or project, applicable rebate program, application reference number, and administrative fee.

Clients must notify RebateSweep of any good-faith invoice dispute within 15 calendar days of receiving the invoice. The parties will work in good faith to resolve the disputed amount. Undisputed amounts remain payable under the applicable payment terms.

RebateSweep may suspend acceptance of new assignments when undisputed invoices remain overdue, subject to any applicable written agreement.

8. Rebate Funds

RebateSweep’s administrative fees are separate from the rebate amounts awarded by a utility, manufacturer, or other program administrator.

Unless a separate written agreement expressly provides otherwise, RebateSweep does not purchase rebate rights, advance rebate proceeds, or receive and retain rebate funds on behalf of the dealer or end customer.

The applicable rebate program determines the authorized rebate recipient and payment method.

9. Submission Authorization

By submitting a transaction for processing, the client represents that it is authorized to request the services and provide the associated documents.

RebateSweep will obtain any additional signatures or authorizations required for submission under the applicable rebate program.

Submission through our website does not authorize RebateSweep to sign a customer’s name, make certifications on another party’s behalf, or act as a utility-approved trade ally unless the necessary authorization and program requirements have been satisfied.

10. Application Deadlines and Processing

The client is responsible for submitting documents sufficiently in advance of applicable rebate deadlines.

RebateSweep will make commercially reasonable efforts to process complete submissions in a timely manner but does not guarantee submission before a deadline when information is incomplete, received late, or dependent on third-party action.

Utility and manufacturer processing times are outside RebateSweep’s control.

11. Confidentiality

RebateSweep will use nonpublic transaction, customer, and business information for the purpose of providing the requested services and related business administration.

We may disclose information to applicable rebate program administrators, utilities, manufacturers, authorized service providers, and other parties as reasonably necessary to perform the services or comply with legal obligations.

Our handling of personal information is further described in our Privacy Policy.

  • Submit false, fraudulent, or misleading information.
  • Upload documents they are not authorized to disclose.
  • Interfere with website security or functionality.
  • Attempt unauthorized access to website systems or records.
  • Use the website for unlawful activities.

RebateSweep may restrict access or decline submissions involving suspected misuse or unauthorized activity.

14. Third-Party Websites and Programs

RebateSweep does not control third-party websites, policies, program requirements, or administrative decisions.

Users should review the applicable third party’s terms and privacy practices.

15. Disclaimer of Warranties

The website and general information provided through it are offered on an “as available” basis.

To the extent permitted by applicable law, RebateSweep disclaims warranties regarding uninterrupted website access, the completeness of third-party program information, and the availability or approval of particular rebate opportunities.

Nothing in these Terms excludes any warranty or obligation that cannot lawfully be excluded.

16. Limitation of Liability

To the extent permitted by applicable law, RebateSweep is not responsible for losses caused by inaccurate client-supplied information, third-party program changes, funding exhaustion, utility processing delays, or decisions made by a rebate program administrator.

Any additional limitation of liability applicable to contracted services may be established in the parties’ signed Dealer Service Agreement.

Nothing in these Terms limits liability where doing so would be prohibited by law.

17. Changes to These Terms

RebateSweep may revise these Terms & Conditions from time to time.

Updated terms will be posted on this website with a revised effective date.

Changes will not retroactively alter agreed pricing for an accepted assignment unless the parties agree otherwise in writing.
